You can use the Email Settings under System Settings to configure the emails that are sent out to guests on the booking and completion of appointments.
To access the email settings
- From the main menu, navigate to Admin > System Settings.
- Expand Appointment Settings and expand Email.
- Click Email settings.
The list of settings appears on the right side of the page.
- Click Edit at the top-right corner of the page.
- Edit the fields as per your business requirements. The field descriptions are provided in the following table.
Field Name Description Email Booking To Customer Select to send an email to the guest at the time of the appointment booking.
Note: This is a general setting. The email confirmation flag must also be selected in the Confirm Appointment window at the time of booking for the guest to receive an email for the appointment booking.
Email Booking To Service Provider Select to send an email to the service provider at the time of the appointment booking.
The technician's email is entered at the time of creating the technician profile. To set up a profile, read Create a Technician Profile.
Reply-To Address Enter the email address that the guests must use to respond to the confirmation emails. Email Serves As Confirmation Select to automatically re-confirmed the appointment as soon as the confirmation email is sent to the guest. SMTP Server If you have your email domain and would like to send the Book4Time emails through your own server, enter the server address in this field. SMTP Server Require Authentication Select if the SMTP server requires a user ID and password. Show Service Duration on Email Select to display the service duration on the confirmation email to the guest. Show Service Price on Email Select to display the price of the service on the confirmation email delivered to the guest. Show Technician Name On Email Select to display the service provider's name on the confirmation email delivered to the guest. SMTP Server User Name Enter the SMTP server username in this field. Send-To BCC When sending any emails from Book4Time, the email address entered in this field will be blind-copied (BCC) on all the emails. SMTP Server Password Enter the SMTP server password in this field. Email Type Select SMTP if you are using an SMTP server to deliver emails to guests. Send Thank You Email on Check-Out Select to send a Thank You email to guests as soon as their transaction is complete in the POS system. Send Thank You Email for OTC Transaction
Select the following options to send a Thank You email to a guest who has purchased a minimum of one of the selected product types.
Book4Time Gift Card
Book4Time Gift Certificate
Restrict to Maximum of One Thank You Email per day Select to send only one Thank You email, regardless if the guest had made multiple purchases that day.
- Click Finish.
The email is now configured.
