After first setting up your Facility Type, you are now ready to set up the Facilities associated with it. The newly created Facility will appear in the Facility dropdown list on the Add New Appointment page in the Scheduler. This list automatically displays only the Facilities available at that time.
Tip: Facilities are commonly set up as a single unit, which accommodates only one guest at a time. It can also be set up as a class with a customized capacity, which is commonly used for equipment that can accommodate more than one guest at a time. If a Facility is set up with multiple capacities, then only one Facility will appear on the Scheduler when viewing by Facility availability.
The Facility requirement can also be setup for online booking to automatically select Facilities when a client schedules a service online.
To set up a Facility:
- Navigate to Admin > Account Management > Expand Facility > Expand the Location.
- Click the Facility Type under the Location name in which the new Facility should appear.
Result: The existing active or inactive Facilities display on the right.
- Click Add New Facility.
Result: The Facility Profile page displays.
- Complete the Profile as follows:
Field Name Description Location The selected Location displays by default. Facility Type Select the Facility Type from the dropdown. Is Active Check this box to make the Facility active for selection when creating an appointment. Name Enter the name of the Facility, e.g. Singles Massage Room 1. Gender Restriction Select the gender you would like to assign to the facility.
Note: Male indicates that only male guests may be booked in this facility, Female indicates that only female guests may be booked in this facility, and N/A indicates that guests of any gender may be booked in this facility.
Gender Restriction is also available with Online Booking; however, the guest must first log in to be able to view such facilities.
Consumption Rate ($) Enter the amount paid towards using the Facility. For example, you may have rented a portion of a Facility to accommodate the tasks you need to perform. Capacity Enter the maximum number of guests that the Facility can simultaneously accommodate. Auto-pick for online booking Check this box so that the Book4Time system automatically reserves the Facility when a guest schedules an appointment online. [Optional] Block Similar to Staff blocks, Facility blocks restrict appointments from being booked in that facility, e.g. for maintenance or cleanup.
To block the Facility, select a start date from the calendar beside the From field, then select a start time from the dropdown. Select the end date from the calendar beside the To field, then select an end time from the dropdown.
[Optional] Description Enter a description of the Facility.
- Click Finish.
